The Policy 

The Course file must be maintained and updated for each course of instruction. They must contain sufficient information on each presentation of the course so that the faculty or other persons who assess program effectiveness can determine whether the course meets its learning outcomes and whether changes to the course are appropriate.

ADUC requires all instructors to create and maintain faculty course files for every course offered in all semesters and summer sessions. These files are crucial indicators of institutional effectiveness and the way ADUC manages its academic programs. Course files provide a detailed record of teaching and learning activities that take place in the academic program.

 

Faculty Course File 

The components of the Course File are as per Annexure 16 of CAA Standards 2019 as follows:

  1. Course Files. syllabi for the current and most recent previous offerings of the course, including any summer session offerings 
  2. Copies of all instructor teaching materials 
  3. Copies of all assessment instruments 
  4. The instructor worked on answers and marking schemes for all assessment instruments 
  5. examples from across the range of student performance of graded responses to all assessment instruments 
  6. student attendance data 
  7. a comprehensive instructor review of the presentation of the course, covering: 
  1. appropriateness of the course learning outcomes 
  2. the extent to which the syllabus was covered 
  3. the extent to which learning outcomes were met (with evidence) 
  4. appropriateness of textbooks and other learning resources
  5. appropriateness of assessment instruments concerning the learning outcomes 
  6. appropriateness of the balance of assessment 
  7. appropriateness of prerequisites 
  8. general comments on any problems encountered with the course 
  1. quantitative analysis of student performance, including individual student grades, both cumulative and for each assessment, and grade distribution 
  2. summary of student feedback on the evaluation of the course 
  3. instructor’s proposals for any course improvements 
  4. summary of actions taken to improve the course 

 

The Course files are the e-Course files constructed and maintained electronically in Google Drive (Cloud-based storage technology). The office of Institutional Effectiveness maintains the repository of Course files. 

 

Course File Audits

The course files shall be constructed throughout the semesters as per the syllabus. The Chair and the Dean shall review them at regular intervals. There shall be a general audit by the Office of Institutional Effectiveness at the end of the semester on a random sample. The report shall be shared with the Vice President for Academic Affairs office for follow-up and action.

The course file folders shall be created by the IE office and shared with the relevant Instructor, Chair, and Dean by the Second week from the start of the semester. The general schedule of course file review by the Chair/Dean shall be as follows; however, the Schools can customize the schedule as per their requirements.

After the declaration of results and reports generation by EIAS. 

*In case of courses taught under “Summer Delivery”, the week and the schedule shall be calibrated accordingly. 

The School/Departmental Course file review shall be completed within three weeks from the declaration of Final grades of the course and reported to the IE Office. 

The review by the Chair/Dean and audit by the IE shall be conducted on the Course File Review template. 

Instructors are required to correct all identified discrepancies.

 

The IT office shall maintain the course file repository backup on a semester basis.
